Most clinics hand your personal and health information to a patchwork of outside platforms. We do not. Your record lives in a system built for our clients, held in Canada, and answerable to us alone.

Here is what ours guarantees: what you consented to can be shown back to you exactly as you saw it, a past appointment cannot be quietly rewritten, and clinical notes cannot drift into places they do not belong.
Consent forms change over time. Wording gets clarified, a question gets added, an aftercare instruction gets updated. In many systems, editing a form changes it everywhere, including for people who signed the older version. The record then shows the new wording over an old signature.
Our forms do not work that way. Each version of a form is kept permanently and never edited in place. When you answer a question, your answer is stored together with the exact version of that question, that field, and that form as it appeared on your screen. Later revisions create a new version and leave yours untouched.
What this means for you
If you ever want to know what you agreed to, we can show you the form as it was worded the day you signed it, not an updated version of it.
A treatment is described by a good deal of detail: what it includes, how long it takes, what it costs, which forms come with it. All of that changes as services evolve. The awkward question is what happens to appointments booked under the old description.
When you book, our system writes down the exact version of every piece that made up that booking, all the way down to the individual questions on the attached forms. That record is written once and is never updated afterward. Changing a service today cannot alter what one of last year's appointments says it was.
What this means for you
Your treatment history stays accurate over years, not just over months. If a question comes up about a past visit, there is a definite answer rather than a reconstruction.
Clinical notes and intake answers should never appear on a client-facing screen by accident. Most systems handle this by marking the sensitive items. The flaw is the default: anything nobody thought to mark is treated as safe to show.
Ours defaults the other way. Every form is treated as clinical from the moment it exists, and it has to be deliberately cleared before any part of it can appear on a client-facing screen. Nothing becomes visible by being overlooked. Your answers are encrypted where they are stored, and only the people involved in your care can read them.
What this means for you
Your private answers stay private, including on the day someone is rushed or distracted. The system errs toward protecting you.
A treatment cannot simply appear on our booking page. It has to be drafted, reviewed and then deliberately published before anyone can book it, and only a published treatment is ever offered to you.
The same applies to the rules around a treatment. Eligibility conditions are recorded as explicit policies rather than living in someone's memory, and when a rule decides something about a booking, that decision is recorded with it.
What this means for you
Anything you can book is a treatment fully prepared to be given, with its requirements settled before you arrive.
Your scheduling, treatment records, forms and communications are held in Canada, on systems this clinic controls directly. Canada is standardising how health information moves between systems, so that a record means the same thing wherever it travels. Ontario is defining what qualifies as a Digital Health Resource and the standard one has to meet. We follow that work closely and build to it deliberately, because a clinic that waits to be told is a clinic already behind.
That is why your consent, your history and your clinical notes are structured rather than loose text. Structure is what lets a record be shown back to you intact years later, and it is what will let your information move on your instruction, to a physician or a specialist, without being retyped or lost in a fax.

Your record is built to outlast the software holding it, and to travel when you ask it to.
